Diplomat has evolved from a basic agency established in 1962 to a professional travel management company.
At Diplomat we ask several questions before we begin to service your account. It is important for us to understand your needs and the individual priorities of your travel requirements. We ask questions that address your travel policies, your cost restrictions and your budget expectations. Based on your information we may also make recommendations to improve your policies and expenditures.
Our highly experienced staff is versed in both business travel needs and the current travel climate. We are your on-going advocates, especially when circumstances necessitate travel changes, cancellations, airline schedule changes, weather or emergency issues. All consultants are empowered with full authority to resolve any issue.
Once your account details and preferences have been established we assign two travel consultants to work with your company. We have found this an effective way to focus on your needs and ensure a smooth transition as well as to foster the relationship.
Our phones are answered 8:00am – 6:00pm, Monday-Friday by a staff member; we do not believe in recorded message and menu options during normal business hours.
Our consultants work in our headquarters location in Reston VA, not from home-based desks. We believe there is a significant value to being current with the latest trends as well as supporting each other in our ever-changing industry. There is always someone available to help.
At Diplomat we strive daily to help you manage your travel by adding value and increasing savings through these highly effective practices:
- Ticket Preservation – While the latest airline regulations generally stipulate a “use it or lose it” policy on unused, non-refundable tickets, we’ve developed programs that allow us to protect and maximize your ticket value.
- Price Reduction by Exchange – To assure competitive pricing on non-refundable tickets, we review all fares daily from the time of purchase until the scheduled departure. If a lower fare is found, the reservation is rebooked at the lower rate and a credit voucher is issued. (Credit voucher is usually valid for up to one year from the date of purchase).
- Price Reduction by Refund or Void – If our daily fare review returns a lower price on a reservation from the previous business day or a refundable ticket, the original ticket is refunded and reissued at the reduced rate.
- Fare Match Waiver – If another carrier offers a lower rate in a market also serviced your preferred carrier, in most cases we can procure a fare match thanks to our preferred agency status.
- Unused Electronic Ticket Tracking – We also track any unused electronic tickets, and re-use them at the earliest date possible.
- Consolidator Tickets – If applicable we work with companies who negotiate bulk contracts with airlines to sell space on selected flights at a discount. This economical service can be especially valuable when pricing high-dollar tickets.

Diplomat makes it a priority to keep up with the latest enhancements to better serve our clients. Our corporate booking engine, ResX, is a powerful online and policy compliant reservation tool. Our online reporting system, WebMan, provides a convenient tool to follow and track revenue reporting activity and is updated weekly.
We also provide reports summarizing your key travel statistics including complete analysis of your airfare, car rental and hotel usage. At your request, a report is available reflecting non-refundable tickets, voids, refunds or exchanges to assist you in managing your funds.
Diplomat has a variety of negotiated rate programs. We offer negotiated Shuttle fares (up to 50% off published fare) in the Washington – LaGuardia – Boston markets. Our Worldwide Preferred-Rate Hotel Program offers up to 50% off rack rates at leading hotel chains, from budget to ultra-luxury properties around the world. Over 7000+ hotels are offered in this program.
We also offer substantial car discounts through our consortium affiliation which are available to all our clients.
